Learn how to actualize and validate campaign results in Camphouse to ensure accurate tracking, approvals, and financial control.

Results Section

The Results section in Camphouse ensures that your campaign actuals are tracked, approved, and reconciled against invoices. This process is essential for maintaining financial control, ensuring timely payments, and comparing actual media investments with plans and targets.

In this article, we will cover:

  • How to actualize a plan (for Agency Teams)

  • How to validate actuals (generally for Product Managers)


How to Actualize a Plan

Once your media entries are committed, your next responsibility as a Planner is to manage the monthly actualization of those entries. This ensures that estimates from your Media Plans are replaced with the true amounts once they become available.

  • If you are actualizing costs: You’ll update monthly values in the Results section and send them for approval. Note that you can not send future actuals for approval, and the amounts must be equal to or inferior to your committed costs.

  • If you are validating actuals: You’ll review these entries in the approval workflow (see next section).

Where to find actuals

At the plan level, click on Results. You’ll see that data from the Media Plan has been automatically pre-filled here.

The only column you have to update is the 'Cost' Column, and it's organized as follows:

  • Grey lines = planning values

  • Black bold entries = actuals you enter or suggestions you accept, which then roll up to the total.

  • Blue totals = aggregated sum of all actuals, displayed next to the original estimate.

You can also view results at the Organization level, giving you a consolidated overview of actuals across all Media Plans for your market.

Entering actuals

  1. Go to the Results section of your plan.

  2. Locate the media entries you want to actualize.

  3. Manually, the actual values for the relevant month(s) or right-click and select 'Accept Suggestion'.

  4. Your entries will appear in black and automatically roll up to the parent totals.

Sending actuals for approval

Once you’ve finished entering your actuals, you’ll need to send them through the approval workflow:

  1. Right-click on the relevant line and select Send for Approval.

  2. The system will display the designated approvers automatically (configured by your Admins).

  3. Add a comment if needed, then click Send.

  4. Approvers will be notified in Camphouse (and by email if enabled).

While approval is pending, a yellow hourglass icon will indicate that a decision is awaited. You can track progress in the Approval section, where all pending and completed approvals are listed.


Editing approved actuals

If you modify approved actuals, their status will revert to Working. You’ll need to resubmit them for approval, following the same workflow.


Integration with SAP

Once approved, actuals are sent to SAP to post a GR (Goods Receipt). The system then cross-checks the GR against supplier invoices:

  • If the invoice exceeds the approved GR for that month, payment will be refused until actuals are updated and re-approved.

  • This ensures tight financial control and prevents overpayment.


How to Validate Actuals

As a Product Manager, you are responsible for validating the actuals entered by Planners. Without your approval, the process cannot be completed, and payments may be delayed.

Workflow

The approval workflow is globally configured and includes one step: Working → Approved.

  1. Receive notification

    • You’ll be alerted in Camphouse and (optionally) by email when actuals require your review.

  2. Review the request

    • Open the notification or go to the Approvals section to see all pending and completed approvals.

    • Review the details of each actual entry.

  3. Approve or reject

    • Approve all at once: select Approve All.

    • Reject all: select Reject All.

    • Approve or reject individually: select each line and add feedback as needed.

  4. Submit your decision

    • Add comments if necessary and click Submit Request (in blue) below the tab and in the pop-up to confirm.

    • Approved actuals update to Approved status in the Results sheet.

    • Rejected actuals are flagged with a stop sign icon. Planners can then revise and resubmit them based on your comments.

Note that a similar workflow is happening in both the Planning and Targets sections.


Special case: digital platforms

For digital platforms that issue invoices at the beginning of the following month (e.g., around the 5th), Planners should enter an estimate during the current month.

Although it was previously possible to update an already approved result in the following month, this is no longer allowed. All new or updated results must now be finalized within the current month, including for digital platforms, in order to be properly processed by our financial systems.

This change ensures consistency and accuracy in financial reporting while aligning with system requirements.

To visualize your results and compare them to your plans, head to the Reports section. You can choose from more than 20 chart types to get the insights that are most relevant to you!
